Key areas of accountability/responsibility

Non-MSS processes

1) Internships (for MBO, HBO, Master, Marie-Curie Fellowships)
– Preparation contract
– OM change request
– Send all documents (contact, form personal data and letter) to intern
– Collection required documents (contract/ personal data, ID)
– Fill in form start Internship and instruct NGA start of internship
– Foreign students: 1st Line contact for 3rd parties (Global Relocation Services, housing agencies)
– Fill in form for DSM badge and send this to the security department
– Inform HR, personal number of the new hire
– In case of prolongation, prepare the confirmation and send it to the HR Director.
– Inform managers in case of prolongation or termination.

2) New Hires
– Collection required documents (contract/ personal data, ID)
– Fill in form start of employment and instruct NGA start of employment
– Foreign new hires: 1st Line contact for 3rd parties (Global Relocation Services)
– Fill in form for DSM badge and send this to the security department
– Inform HR, personal number of the new hire
– In case of fixed contract. Inform HR on time due to termination process (via Manager)

3) The 30% ruling, tax advance for foreign employees
– Fill in all the details for the application and add the annexes
– Ask the HR Director and the foreign employee to sign the application via DocuSign
– Send all the required documents to tax department in Heerlen
– After positive decision tax department, please inform NGA and ask to add the 30% ruling

4) Externals (holds position in euHReka, but is not stated on the payroll of DSM)
– OM change request
– Fill in form External worker and instruct NGA start of external
– Also take action by prolongation and termination of the external

5) IDM Key-user
– Trouble shooting around aurora access

6) Dispatcher
– On daily basis distribute the tickets that have come in to the right Service Delivery team (global role). Distribute the tickets for service Delivery team NL to the right support officer.

7) General
– Pick up mail
– Scan letters / contracts etc.

Complexity of the job

Management of all non-MSS cases towards NGA and follow up

– Deal with very sensitive information (privacy data).
– Deal with a lot of hectic activities at once and prepare with high concentration,
setting work priorities independently.

Knowledge and educational level

– Organizational skills.
– Excellent command of the English language.
– Proven administrative experience in an HR environment.
– MBO+ (thinking – working level)
